INTERNAL CONTROL POLICY

- SCOPE
- This policy applies to all employees, contractors, vendors, third-party users, and any other individuals who have access to Company’s information systems, assets, data, or physical facilities.
- ROLES AND RESPONSIBILITIES
- The Senior Management will be responsible for implementing and monitoring internal controls throughout the Company and will ensure that employees are adequately trained and informed about internal control procedures.
- The Internal Auditing Control team will be responsible for internal auditing and will report recommendations to the senior management for any existing improvements and deficiencies.
- The Risk Management team will analyze and document all the risks associated within and outside the Company and will take necessary steps to mitigate those risks.
- Supervisors and managers have a responsibility to ensure that internal controls are effectively implemented within their respective areas of authority. They must monitor compliance, provide guidance to their teams, and promptly address any control deficiencies.
- Any concerns, potential violations, or suggestions for improvement regarding internal controls should be reported to the appropriate channels, such as a supervisor, manager, or designated reporting mechanism.
- MONITORING AND EVALUATION
- All Internal control procedures and processes shall be documented in a clear and organized manner only by the authorized authority.
- Documentation of internal control testing, audit procedures and findings such as risk factors and control activity shall be retained by the Company.
- Changes will be monitored post-implementation to ensure that they perform as expected. A post-implementation review will be conducted to assess the success of the change and Identify areas for improvement.
- Periodic evaluations and audits will be performed to assess the effectiveness of the internal control system.
- RISK ASSESSMENTS
- The Company will conduct Security Risk Assessments to identify and evaluate the risks within the Company.
- The Risk Management team will protect all valuable and sensitive company data, including personal and financial information from threats and data loss.
- The Risk Management team will monitor regular updates and conduct Security Risk Assessments to mitigate risks.
- SECURITY AND PROTECTION OF COMPANY RESOURCES
- Company resources and assets , including equipment, technology, and facilities, should be used with care and only for business purpose and not for personal gain.Occasional personal use is permissible as long as it is lawful, does not affect job performance or disrupts workplace morale.
- Our books, records, accounts and financial statements must be maintained in appropriate detail, must truly and properly reflect our transactions. We condemn all forms of money laundering, so we are committed to do business with partners involved in legitimate business activities with funds derived from legitimate sources.
- All employees are obliged to follow appropriate security measures and they should treat company property, whether material or intangible, with respect and shouldn’t misuse company assets or use it carelessly.
- The asset owners are responsible for ensuring that the assets are used efficiently and in accordance with their intended purpose and report maintenance needs as and when required to the concerned department
- COMPLIANCE WITH THE LAWS REGULATIONS
- Individuals working within the Company must adhere to the required applicable laws and regulations. The employee must comply with the company's policies and procedures with respect and dignity. We expect our employees to be responsible when dealing with our company’s finances and valuable resources
- Employees and Supervisors must stay informed about the laws relevant to their roles and responsibilities and ensure that their actions and decisions align with legal standards of the Company.
- COMPLIANCE
- You acknowledge that any violation of this Policy may result in warnings, temporary suspension, or permanent termination of your access to our Company. It is your responsibility to ensure that your conduct adheres to this Policy and that your interactions are conducted in accordance with policy guidelines.
- CHANGES TO THE POLICY
- We reserve the right to update and make changes to this policy from time to time based on the working conditions of the Company. The Company on updating this policy will inform the members of the Company.
