LATE APPOINTMENT POLICY
In order to increase productivity and hassle-free dealing of clients, appointments are a necessary requirement. However, at times individuals with appointments fail to attend or arrive late which not only causes inconvenience to others, but also impacts our practice. This policy ensures efficient customer service through appointments, rescheduling for late arrivals and fairness to all clients.
- PURPOSE
- We value and respect our client’s precious time and availability of our services. The purpose of this policy is to establish clear guidelines and procedures for addressing such instances, where individuals do not arrive on scheduled time. This policy addresses punctuality concerning allotted time and schedule. It helps in maintaining a well-balanced schedule, ensuring that appointments run effectively and efficiently providing benefits to us and our clients.
- SCOPE
- To ensure efficient utilization of time and resources, this policy applies to all our clients and customers who have made an appointment with us. Late arrivals often disrupt the business functionality and cause inconvenience to our other clients.
- REMINDER
- To minimize the instances of late arrivals, we will send notifications or appointment reminders to our clients or customers. These reminders will be sent in the form of text message, calls or emails, [INSERT DAYS OR TIME FRAME WITHIN WHICH NOTIFICATIONS OR APPOINTMENT REMINDERS WILL BE SENT ] before the scheduled appointment.
- We make diligent efforts to send notification to our clients, it remains the responsibility of the customer to keep a track of their appointments and give prior notice if they wish to change or cancel their allotted schedule.
- PROCEDURE FOR LATE ARRIVALS
- If you arrive late for your scheduled appointment, we will try our best to accommodate or reschedule your appointment.
- Clients who wish to reschedule their appointment must inform us 24 hours before their allotted time or schedule. This helps us to stay organized and prevents financial loss of our clients due to missed appointments or late rescheduling.
- Clients who arrive more than [MINUTES] late for a scheduled appointment. We take reasonable efforts to accommodate late arrivals; however we cannot guarantee that the rescheduled appointment will be available as per the client’s requirement.
- Clients who arrive late may receive a shortened appointment, if the schedule cannot accommodate full duration.
- To maintain the efficiency of our schedule and respect the time of other clients, we kindly request that clients arrive promptly for their scheduled appointments.
- For extreme cases or persistent late arrivals, we reserve the right to terminate the relationship with the client.
- CANCELLATION NOTICE
- To ensure efficient operation of our scheduling and accommodate the needs of all our clients, we request our customers to provide us with cancellation notice 24 hours before the allotted slot.
- Cancellations made with less than 24 hours’ notice period, may be subject to a no show or cancellation fees.
- LATE FEES
- Customers who arrive late or fail to show up for a scheduled appointment without giving any prior cancellation notice at least 24 hours before the scheduled appointment will be charged late fees [INSERT THE AMOUNT OF FEES THAT WILL BE CHARGED ON LATE ARRIVAL]. This amount is non-refundable and may be added to the actual fees if the client rescheduled the appointment.
- EXCEPTIONS
- We understand that unforeseen circumstances or emergencies may arise that could either prevent our clients from arriving at the allotted time or require them to reschedule. We kindly request our clients to inform us in advance when such instances occur, allowing us to make necessary accommodations.

- We reserve to right to update and make changes to this policy from time to time based on the working conditions of the Company.
